Disconnecting GridTally from QuickBooks

If your company connected GridTally to QuickBooks Online, GridTally can push approved timesheet hours into your QuickBooks company as time entries. You can end that connection at any time, from QuickBooks, without contacting us. This page explains how, and exactly what happens to your data when you do.
What the connection can and cannot do
The connection is deliberately narrow. GridTally requests access in order to read your employee list (so hours land against the right person) and to create time entries for approved hours. That is the whole of it. GridTally does not create, read, or change invoices, customers, payments, bills, or anything else in your books. Invoicing stays yours.
How to disconnect
Do this from inside QuickBooks Online, as a user with admin rights:
- Sign in to QuickBooks Online.
- Open Settings (the gear icon), then Apps → My Apps. Depending on your QuickBooks plan this may appear as the Apps item in the left-hand menu, then the My Apps tab.
- Find GridTally in the list of connected apps.
- Open its action menu and choose Disconnect, then confirm.
That revokes GridTally's access at Intuit immediately. You do not need to do anything in GridTally afterwards, and you do not need our permission.
What happens to your data
- Time entries already in QuickBooks stay there. Disconnecting does not remove hours GridTally has already pushed. They are your records, in your books, and we do not reach back in to delete them. If you want them gone, delete them in QuickBooks.
- Your GridTally records are untouched. Timesheets, shifts, approvals and everything else in GridTally continue to work exactly as before. Only the push to QuickBooks stops.
- New hours stop syncing. After you disconnect, GridTally can no longer reach your QuickBooks company. Anyone who tries to run a sync will get an error saying the connection needs to be re-established, rather than a silent failure.
- The stored connection stops working. The access GridTally held is revoked by Intuit at the moment you disconnect, so the stored credentials are dead whether or not anything in GridTally has noticed yet.
- A record of which weeks were already pushed is kept. This is what stops the same week being pushed twice if you reconnect later. It records that a week was sent and when — not your accounting data.
Reconnecting later
Nothing is burned. An owner or administrator can sign in to GridTally, open the QuickBooks card in settings, and connect again. You will be sent to Intuit to sign in and approve access, exactly as the first time. Because GridTally remembers which weeks it already sent, reconnecting does not duplicate hours you have already pushed.
Deleting your data instead
Disconnecting stops the QuickBooks connection; it is not an account-deletion request. To have GridTally records deleted, your company's administrator should email support@gridtally.com. Deletion requests are handled by a person, not a self-service tool. What we retain, and for how long, is set out in the privacy policy.
If something looks wrong
If you have disconnected and GridTally still appears connected, or hours appear in QuickBooks that you did not expect, tell us and we will look at it directly.
