Privacy Policy

This policy explains how Gorman Field Services, LLC ("we", "us"), the developer and operator of the GridTally application ("GridTally", "the app"), collects, uses, and protects information. It applies to gridtally.com and to the GridTally web and mobile applications.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with the service providers strictly necessary to deliver the messages you have asked to receive.

1. Who controls your information

GridTally is used by companies to manage their own field workforce. If you use GridTally as an employee, your employer is the party that decides what data is collected about you and how long it is kept. We process that data on your employer's behalf. Requests to see, correct, or delete your records should normally go to your employer's GridTally administrator first; we will assist them.

2. What we collect

We collect only what the app needs to function as a timekeeping and field-records system.

Account information

  • Name and work email address
  • Mobile phone number, where provided for notifications
  • Employer, role, and permission level
  • Authentication data required to sign you in

Work records

  • Clock-in and clock-out times, shift duration, and assigned project
  • Timesheets, paid time off requests, and expense entries
  • Field notes and photographs you choose to attach to a record

Location information

GridTally records precise device location at the moment you clock in and clock out, and, where your employer has enabled it, at intervals while a shift is open. This exists to tie hours to the job site they were worked at.

  • Location is collected only in connection with an active shift — never when you are off the clock, and never after you clock out.
  • Your device asks for location permission before any location is collected, and you can withdraw that permission in your device settings at any time.
  • Whether location is required is a setting controlled by your employer, not by us.

Technical information

  • Device and browser type, operating system version, and app version
  • Log and diagnostic data needed to keep the service working and secure

We do not collect Social Security numbers, bank account details, payment card numbers, or health information through GridTally.

3. How we use it

  • To operate timekeeping, scheduling, and field records
  • To produce payroll and job-costing reports for your employer
  • To send operational notifications you have opted into, such as shift reminders and missing-timesheet nudges
  • To secure the service, investigate misuse, and fix defects
  • To meet legal, tax, and recordkeeping obligations

We do not sell personal information, and we do not use it for advertising.

4. Text messages

Where enabled, GridTally sends operational SMS messages to enrolled users who have opted in inside the app. These are transactional messages about your own work — shift and clock-in reminders, missing-timesheet nudges, and schedule changes. We do not send marketing or promotional text messages, and we do not text people who are not enrolled users of the app.

Your mobile number and your consent record are used only to deliver those messages and to honor your opt-out. They are shared with our messaging provider solely to transmit the message, and with no one else. Reply STOP to any message to cancel, or HELP for help. Full details are in the messaging terms.

5. Who we share it with

We share information only in these situations:

  • Your employer. Administrators at your company can see the work records of their own staff.
  • Service providers. Vendors who run parts of the service under contract, limited to what they need: Google (Firebase authentication, database, file storage, and server functions), Cloudflare (hosting and content delivery), Twilio (SMS delivery), and Resend (email delivery).
  • Accounting integrations. Where your employer connects one, approved payroll hours can be sent to their accounting system, such as Intuit QuickBooks Online. This is off unless your employer turns it on.
  • Legal requirements. Where we are required by law, subpoena, or court order, or to protect the safety and rights of people or property.
  • Business transfer. If the business is sold or reorganized, records may transfer with it, subject to this policy.

Each company's data is separated from every other company's data, and access is restricted to that company's own users.

6. How long we keep it

Work records are retained for as long as your employer's account is active and for as long as payroll and employment recordkeeping law requires, which in most cases is several years. Your employer can request deletion of records that are no longer legally required. Diagnostic logs are kept for a short period and then discarded.

7. How we protect it

  • All traffic is encrypted in transit using TLS, and data is encrypted at rest by our providers.
  • Access is controlled per company and per role, enforced on the server, not just in the app.
  • Administrative access is limited to the people who need it to operate and support the service.

No system is perfectly secure. If a breach affects your information, we will notify affected employers and users as required by applicable law.

8. Your choices

  • Location. Withdraw the permission in your device settings. Note that your employer may require location for clock-in, so turning it off may prevent you from clocking in through the app.
  • Text messages. Reply STOP to any message, or clear the SMS consent checkbox in your GridTally profile. Opting out of texts does not affect your ability to use the app.
  • Access and correction. Ask your employer's GridTally administrator, or contact us directly using the details below.

Depending on where you live, you may have additional rights over your personal information, including the right to request access, correction, or deletion. Contact us and we will route the request appropriately.

9. Children

GridTally is a workplace tool intended for use by employees. It is not directed to children, and we do not knowingly collect information from anyone under 16.

10. Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes affecting how we use personal information will be communicated to employer administrators.
